   Adoption of the Agenda 

- The participants of SINERGI Steering committee meeting have been welcomed by the meeting chair, Prof. Ognen Marina.

- The meeting agenda has been presented and adopted.

 

1. Agenda, report of past activities and Minutes of the meeting from Lisbon meeting

- Minutes of the meeting of Second Thematic seminar in Lisbon have been prepared by the partners from Lisbon as a draft and will be distributed among project partners until July 10, 2015.

- Meeting Chair has informed and reminded the partners that it is important to provide reports, documents collection and payment requests by partners in timely manner in order to provide a coherent and precise documentation of the project activities.

- Steering Committee has briefly discussed the status of the Project budget and addressed the situation of the project budget of City of Lisbon. A meeting between the Project coordinator, and meeting chair with representatives of Financial department of City of Skopje as a grant holder will be arranged with purpose of finding the most suitable solution in line with the Grant rules and Europe for Citizens Program by EACEA financial guidelines. The project partners will be communicate and informed about the final decision regarding this issue.

- Meeting Chair has emphasized the importance of providing the continuous information feed for the SINERGI Web page by the partners, since dissemination of SINERGI project activities and results (TV and radio news, events, exhibitions, Master thesis, research, promotion and other activities related to SINERGI project).

 

2. Final conference in Skopje in late November 2015, Scientific Committee and time-plan

- Meeting chair has informed the members of Steering Committee that the following activities for preparation and organization of the SINERGI Project final conference have been taken:

- Members of the Scientific Committee from four cities have been nominated. They need to provide their short CV’s. The role of the SC members will be to review and report the scientific report for the abstract and papers that will be received for the conference. Scientific coordinator will provide the template for the paper review.

- Call for abstracts and Call for Conference Tracks subtopics and chairs has been announced and is displayed at project web site. The time frame for submissions will be redefined due to the forthcoming summer period with expected lower level of activity of prospective participants. The Conference chair will inform the partners about the final time-plan for the conference submission process.

- Organization Committee has been established with representatives from Faculty of Architecture in Skopje.

- Conference chair and vice chair are negotiating with several prospective key-note speakers and will inform the partners about the final decision about key-note speakers in due time.

- Dates and place of the meeting have been determined and the final SINERGI meeting will be held from 18-20 November, 2015 in Skopje. Final conference will be from 18-19 November and the final meeting of project partners will be held at 20 November, 2015.

- Expected number of participants is from 50-70 and participants from different background are welcome.

- Initial technical and organization preparatory activities &technical requirements (video/audio recording) have been already performed.

- Book with papers from the Conference will be edited and printed after the conference. This is with the purpose to have a high quality scientifically solid process of review of papers and the quality of the publication.

- Project partners and City of Skopje will communicate with EACEA the possibility to include participation fee for the sole purpose of covering the costs related to the preparation and organization of the conference. If partners decide not to impose the participation fee than the statement about the inclusive policies of the SINERGI project final conference should be developed and promoted.

- Follow up activities and publications will be foreseen during the SINERGI project final meeting and project final conference will be foreseen as a potential for building new partnerships and collaborations.

 

3. Exhibition from 4 cities in Urban Center of four Cities (C4C)

- Exhibition by four cities (of SINERGI project work) will be organized in C4C in Skopje in September.

- Project partners have agreed to provide C4C in Skopje with specification of their respective exhibitions by defining the type of exhibition artifacts (panels, video, models, etc…) and that will provide digital files of the exhibits in order to print the panels in Skopje for the purpose of the exhibition.

- Project partners agreed to consider the potential to have this exhibition as a mobile and traveling exhibition of four cities that could be exhibited in all partner cities (Lisbon, Turin and Zagreb)

- Exact dates and place of the exhibition will be announced in late August, 2015.

- Extensive promotion of the project and the exhibition among Embassies and other parties will be organized.

- Scientific coordinator will prepare and distribute among partners the precise time-plan for activities (with deadlines) for the preparation of the exhibition.

 

4. InViTo finalization and tasks

- Representative of SiTI will prepare the final report about the status of InViTo, level of development, level of accessibility, and plans for future use of the tool.

- Final report on InViTo will be send to City of Skopje as a project leader and when accepted it will be base for the transfer of the first installment for InViTo development to City of Turin and SiTI.

- Future status and follow-up use of InViTo should be clearly foreseen in the final report.

 

5. Preparation of SINERGI project Book One publication

- Meeting chair has informed the members of the Steering Committee about the status of the collection of papers from Lisbon thematic seminar.

- Group of editors, editorial board and scientific board has been established.

- Scientific coordinator will communicate the involved parties about the time-plan with activities and deadlines for the editing and printing the Book One.

 

6. Evaluation of the project activities

- Meeting chair and scientific coordinator has informed the project partners about the deliverables and project results that must be developed and finalized within the time-frame of the duration of the SINERGI project.

- Evaluation survey has been prepared and will be distributed among the workshop participants and the participants at the final conference with intention to have a strong feedback and self-evaluation tool that will provide a relevant report of the work and results of the project.

 

7. Forthcoming project activities and deliverable

- Deliverables that are due to be developed are:

            - Final conference (meeting)

- Public Exhibition

- Public Lecture series (key-note speakers)

- Video recording of the lectures

- Development (finalizing) the digital platform InViTo

- Instruction (tutorial) for use of InViTo

            - The book with urban projects, comparative analysis of planning process and practice in four cities and guidelines for implementation of socially inclusive urban development.

            - Publication of SINERGI Book One

- Publication of Final Book of SINERGI Project

            - Opening of Urban Center of 4 Cities in Skopje

            - Maintenance and constant feed of project web page (www.sinergiproject.com)

 

8. Follow-up cooperation

- Project partners have confirmed their commitment and interest in development of application for future projects;

- New networks should be initiated among different project stakeholders and the institutions and partners beyond the SINERGI Project. New networks could be with scientific, research, academic, administrative or other relevant backgrounds.

- Future activities of C4C should be foreseen in the scope of providing the sustainability of the results of the SINERGI project.

- EU and national funding opportunities should be considered.

- Research and academic cooperation should be initiated and supported through development of diverse forms of cooperation like joint design studio and joint diploma courses, as well within the existing exchange and academic mobility programs like Erasmus+ and other.

 

9. Conclusions and recommendations

- Meeting chair has informed the members of Steering Committee that for the purpose of the project final meeting following documents should be produced and delivered:

            - Reports by partners

            - Report by project coordinator

            - Final budget report

            - Report of project results

            - Evaluation of project deliverables

            - Draft Final project report

            - Plan for the follow-up activities
